How to manage and use your flexitime
Flexitime Overview#
Flexitime is a key way that we can manage our time and wellbeing in a remote and dynamic environment. It’s sometimes natural that some days will be longer than others. With flexitime, these extra hours don’t disappear, and can be used to take time off at a later time.
Your flexitime is directly linked to your time tracking. When you track time against your weekly work hours you will be credited or debited flexitime. For example, if you have a working week of 40 hours, but track 41 hours, then that week you’ll have 1 hour of flexitime added to your balance.
Using It#
The best part of flexitime, using any excess time you’ve given us previously. This is super simple.
- If you’re going to be using 30 mins or an hour here or there, just pop a message in the amazee.io team channel when you’re going to be heading off.
- For more significant amounts of time, mention to your lead and team when you plan to be out using flexitime so they can plan for you not being around.
- If you use more than 1/2 day of flexitime in one go, book the time off in BambooHR under “reclaim my hours”. Serving as a reminder and sign off of longer absences for your lead.
- When taking longer periods off using Reclaimed Hours, we expect team members to follow the standard OoO procedures
It’s important that flexitime is used regularly. The idea isn’t to accumulate lots of hours to bank them for a later day as this would be counterproductive to the purpose, which is to manage your work/life balance in a sustainable manner
Logging used flexitime in Jira
Simply, don’t. The beauty of flexitime is its ease. If you’ve got a positive balance, and decide to take a few hours off as flexitime, don’t track it. Your balance will be adjusted based on the time you didn’t work.
Flexitime Rollover
Flexitime continually roles over, and doesn’t expire. It is something that needs to be consistently managed for your wellbeing, so in principle there is no reason for it to expire, as we would like you to actively use any time you build up.
Time tracking opt-out
Any colleague who has opted out of time tracking, also forfeits their ability to benefit from flexitime unfortunately, due to a lack of the required data to manage balances.
How to check your flexitime balance#
We export the data from Jira into a spreadsheet every Tuesday morning, which is shared with your lead.
- Speak to your lead and ask them for your flexitime balance. They will be able to break it down for you, as the sheet includes the following:
- Your balance, including how this has changed over the past quarter
- Your expected hours per week vs what was tracked
- Data including any gaps whereby time was not tracked, which would negatively affect your balance, allowing you to log into Jira and track for this period
- Your lead may reach out to you directly if you have a large positive balance to use, or a large negative balance to build up.
- In order to have the most accurate and up to date information on your flexitime balance, make sure your time is tracked and up to date by the end of each Monday.
