Insight into the nature and purpose of the various company wide meetings we have at amazee.io
Staff Meeting#
Purpose:
Our fortnightly staff meetings are a regular opportunity to share your personal highlights, and for workstreams to keep the rest of the company up to date on topics that impact the majority.
Frequency: Every 2 weeks
Timezone: Rotated between timezones, i.e. AMER/APAC, then EMEA/AMER, then APAC/EMEA
Duration: 1 hour
Attendees: All in the 2 out of 3 timezones each meeting
What is discussed:
- New starter welcomes
- Personal highlights, we encourage everyone to share what has been happening in their lives
- Management and hiring updates
- Workstream news and updates relevant to the wider audience
Note
Many important updates are shared in the staff meeting which are not repeated elsewhere, so if you are unable to attend or it is not in your timezone, always try to make an effort to watch the recording afterwards. This recording will be shared in the amazeeio-announcements slack channel
Note
Preparation:
- The slide deck is shared at the start of the week for anyone to update
- Workstream slides
- Updates should be newsworthy and relevant to at least 2 other workstreams for them to be added to the slides. They should not be a long list of current tasks or plans which don’t directly affect other workstreams
- Should try not repeat the same update each meeting, nor repeat what has been said already. e.g. If a new starter for your team is mention in the HR slide, it shouldn’t be repeated in the slide for the new hire’s workstream
- Always make sure
- Your workstream slide has content
- Someone will be there to present your slide, and knows in advance
All-Hearts Meeting#
Purpose:
A company wide meeting, dedicated to bringing our global team together all at once. More company culture and “big picture” focused than the Staff Meetings.
Frequency: Quarterly
Timezone: Global crossover - EMEA evening / AMER afternoon / APAC early morning
Duration: 1 hour
Attendees: All of amazee.io
What is discussed:
- Company wide celebrations (work anniversaries, individual achievements, new starters)
- Financial update on amazee.io
- Company OKR updates and plans for the next quarter
- Workstream OKR updates and plans for the next quarter
- General company updates and plans
Note
Due to the global nature of this meeting, it can take place at a potentially inconvenient time, depending on your location (especially in some APAC and EMEA timezones). We’d love that everyone makes an effort to attend this meeting as often as your schedule and work life balance allows, as it’s a time we can all be sure to see each other. However we understand that this won’t always be easy or possible, so to help with this we suggest the following:
- If you can’t attend be sure to watch the recording shared to the amazeeio-announcements slack channel
- Workstream leads - Please keep your OKR updates brief and relevant in order that we may stick to the 1 hour time slot

Mirantis Bi-Weekly Q&A#
Purpose:
A Q&A session, for any amazee.io and Mirantis employees to ask questions related to wider Mirantis operations.
Frequency: Once every two weeks
Timezone: California based - EMEA afternoon/AMER morning
Duration: 1 hour
Attendees: Anyone who wishes to attend (optional)
What is discussed:
- General open forum Q&A for management of Mirantis to go over any questions employees have
- Minutes are stored here: Mirantis Bi-Weekly Q/A

Donut calls#
Purpose:
Donuts are social meets which take place either 2-4 people, randomly selected every 3 weeks. They are a great way to end up chatting to someone you may otherwise not interact with regularly, to build closeness and familiarity within our remote team and across our timezones.
Frequency: Once every 3 weeks
Timezone: Find the best that works for you
Duration: 30 minutes
Attendees: Anyone who is part of the Donut slack channels (automatic opt-in)
What is discussed:
- Anything! Donut is a completely open space to discuss whatever you want to get to know your colleagues better.
- If you are stuck on how to kick the conversation off, then you can ask Donut to send conversation starter ideas, via the specific Donut Slack channel

Handovers/Standups#
As we operate 24/7, we “follow the sun” and have teams in 3 main timezone regions (APAC, EMEA and AMER). We tend to structure a lot of our team meetings to allow for two time zones to meet at once. In some roles and workstreams, such as Platform or Support, this will mean that you’ll start your day with a handover meeting from one region, and end it by giving an update to a team in another region.
Where applicable, such handover/stand up meetings are planned for 30 minutes each, and cover work that has been done during the day and blockers that you need help with, or anything that would require the attention or input from wider team members, such as escalting ticket assignment, or brainstorming solutions to team tasks and issues.
After that, there is usually time to discuss further things that came up during the first 15 minutes that might need more insights. After the first part of the standup wraps people are free to leave.
While we all are in different timezones and Daylight Saving Time is a fact in many locations. Dates and Times might shift around, and differ per workstream.
